We are seeking a Program Manager for the Research Education and Training Grants Office (RETGO).

RETGO Program Coordinator

As part of St. Jude's continued and expanding effort to support the professional development of students, postdocs, clinical fellows, and early career faculty, we are establishing a new office for Research Education and Training Grants. The Program Coordinator will work with faculty, trainees, and other key stakeholders in support of the pre- and post-award administration of NIH-funded institutional grants related to training and education. We are seeking candidates who have demonstrated experience with project management, excellent communication skills, and an eagerness to contribute to an exciting area of growth for research training at St. Jude.

The Program Coordinator, Research Education and Training Grant Office coordinates pre- and post-award management of institutional research education, training, and similar grants (R25, T32, K12, D43). Prepares checklists, timelines, and institutional data needed for new, competing, and non-competing renewal grant applications, and coordinates meetings with PIs and support staff to ensure timely submission. Tracks and processes trainee appointments, reappointments, and terminations using the NIH XTrain system in close coordination with St. Jude offices, including the Grants and Sponsored Programs Office. Works with trainees, mentors, PIs, and Grants Accounting to process grant funds and monitor budgets. Makes arrangements, coordinates and advertises training program events, tracks trainee participation, and assists with the preparation of reports on training activities and outcomes.

Job Responsibilities:

  • Manage activities related to training program grants including coordination with other departments, tracking metrics, analyzing data, and creating reports, independently.
  • Assists with program advertisement, works with Communications to ensures that the external and internal websites are up to date.
  • Works closely with APO Recruitment team to ensure the timely recruitment of eligible and competitive trainees.
  • Assists with recruitment and coordinates application review for prospective trainees.
  • Prepares communications for prospective trainees, mentors, and department administrators.
  • Coordinates trainee appointments, reappointments, and terminations, interfacing with NIH platforms in coordination with the institution (e.g., PIs, department administrators, APO and GSP).
  • Coordinates trainee/mentor onboarding and monitors the progress for trainees.
  • Collects trainee annual progress reports, assist in the preparation of the RPPRs for training grants.
  • Coordinates and advertises training program events.
  • Prepares summary of activities, progress, and outcomes annually, or as needed.
  • Maintains updated descriptions of institutional resources.
  • Lead or support design and implementation of policies, processes, and procedures for RETGO.
  • Maintains training program descriptions, requirements, and expectations for trainees and participating faculty.
  • Tracks trainee progress and faculty engagement in program events/activities.
  • Communicates any changes in and/or provides clarification for NIH policies related to T32, R25, K12 programs.
  • With the Director, assist trainees with identifying and applying for independent funding opportunities.
  • Manage small projects within the program by developing a plan & scope of work, budget & resource management, vendor management and tracking & reporting progress.
  • Project management for new, competing, and non-competing institutional grant application submissions, including establishing timelines, updated checklists, setting recurrent checkpoint meetings, and assigning roles/responsibilities.
  • Work with Data Specialist to complete Data Tables; provide summaries for Data Tables. Assists Grants and Contracts Coordinator with the application submission process, including uploading documents to MARS and reviewing final application document.
  • Processes requests to use grant and/or institutional funds for training related expenses, payment requests, invoices, etc.
  • Works with Grants and Contracts Coordinator to review use of funds, quarterly and as needed, to ensure appropriate and timely expenditures of grant funds and institutional funds.
  • Books accommodations and arrangements for invited speakers, catering, and honoraria
  • Undertake complex data tracking & analysis to identify trends and present recommendations within the program team.
  • Curates and maintains the database for trainee outcomes for all participating faculty.
  • Assist in the preparation of preliminary data reports on training records and funding for faculty being considered for new training programs.
  • Work with the Director to assess new/innovative opportunities for training.
  • Performs other duties as assigned to achieve the goals and objectives of the department and institution.
  • Maintains regular and predictable attendance.


Minimum Education and/or Training:

  • Bachelor's degree required

  • Master's degree preferred


Minimum Experience:

  • Two (2) years of experience in program/project support and coordination

  • Demonstrated experience in working with project planning tools like MS Project, Microsoft SharePoint, ServiceNow, Smartsheet, Clarity, Planview, MS Office.

  • Proven track record of attention to detail & delivering high quality work.

Compensation

In recognition of certain U.S. state and municipal pay transparency laws, St. Jude is including a reasonable estimate of the compensation range for this role. This is an estimate offered in good faith and a specific salary offer takes into account factors that are considered in making compensation decisions including but not limited to skill sets, experience and training, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be hired at or near the top of the salary range and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current salary range is $65,520 - $114,400 per year for the role of Program Coordinator, Research Education and Training Grants Office (RETGO).
